How to use the Annual Planner

Plan your marketing activities for the year with an interactive yearly view. Import activities from Excel or sync from HubSpot.

Overview

The Annual Planner (also called Content Visualizer) helps you plan your marketing activities across the year. You get a bird eye view of all campaigns, content, and events in one place.

Getting started

  1. Go to Annual Planner in the sidebar
  2. Click New Plan
  3. Enter a plan name (for example: "Marketing 2026")
  4. Select the year to plan for
  5. Choose how to start:
    • Empty plan: start from scratch
    • Import Excel: upload a spreadsheet with activities
    • HubSpot sync: pull campaigns from a connected portal

Views

The planner has two main views:

  • Disc view: circular yearly overview, great for seeing seasonal patterns
  • Week view: traditional calendar with weeks on rows, good for detailed planning

Switch between views using the toggle at the top of the planner.

Adding activities

To add a new activity:

  1. Click anywhere on the calendar to create an activity
  2. Enter a name and description
  3. Set the category (campaign, content, event, launch, etc.)
  4. Choose start and end dates
  5. Optionally set it to repeat (weekly, monthly, yearly)

Categories

Categories help you color-code activities for quick visual scanning. Common categories include:

  • Campaigns
  • Content releases
  • Product launches
  • Events and webinars
  • Email campaigns
  • Social media pushes

You can create custom categories with your own colors.

Repeating activities

For recurring activities (weekly newsletters, monthly reports, yearly events), use the repeat setting:

  • Weekly: every week on the same day
  • Monthly: every month on the same date
  • Yearly: once a year on the same date

Repeating activities expand automatically when the plan is rendered.

Excel import

If you have an existing plan in Excel, you can import it:

  1. Click Import in the plan editor
  2. Download the Excel template
  3. Fill in your activities (name, dates, category, description)
  4. Upload the file
  5. Review the preview and confirm

All activities are imported into the plan, keeping your dates and categories intact.

HubSpot sync

If you connect a HubSpot portal to your plan, you can pull existing campaigns and marketing activities directly into the planner. This saves manual data entry and keeps your plan aligned with HubSpot.

Tips

  • Start with broad strokes (quarterly themes), then fill in specific activities
  • Use the disc view for executive summaries and presentations
  • Share the URL with your team so everyone sees the same plan
  • Review and update the plan monthly to keep it accurate
